Contact requests
When you submit the form, we receive your name, email address, selected topic and message. Required fields allow us to understand and respond to your request; if you do not provide them, the form cannot be submitted. You can contact us by email instead. Do not include passwords, payment details or sensitive personal records.
Requests are stored in a private directory outside the publicly served website. In the local preview, messages stay on this computer; no email is sent automatically. The form does not subscribe you to marketing. Processing relies on taking steps at your request before a contract (Article 6(1)(b) GDPR) where relevant, or our legitimate interest in handling business enquiries (Article 6(1)(f)).
Retention
Form records are retained for up to 90 days from receipt. Expired records are removed during form or analytics requests and by a daily scheduled cleanup task on the hosting server. The scheduled task must be enabled on the hosting account to ensure cleanup when the website receives no visits. Requests without further business follow-up are not intended to be kept beyond this period. Correspondence transferred to a client file or needed for legal obligations is handled separately for the relevant purpose and applicable retention period. Copies in mailboxes or backups require their own retention rules; deletion from this form inbox does not delete those copies.
Security and spam prevention
We process your network address to protect the contact form against abuse, based on our legitimate interest in maintaining a secure service. Our form protection stores a protected representation of this address, not the raw address, and temporary verification data. These data expire within one hour; duplicate-detection data expire after 24 hours. Hosting providers may separately process connection data for security and logging.
Audience measurement
With your consent, we use Matomo, managed by Klario Solutions, to count views of public pages. Only the page viewed and its title are used for these statistics. We do not transmit your IP address, browser details, referrer, URL query parameters or form content to Matomo. We do not use tracking cookies or persistent visitor identifiers.
Optional audience measurement relies on consent (Article 6(1)(a) GDPR). It remains off until you choose to allow it. You can refuse or withdraw at any time using Privacy settings. Your choice is stored locally in your browser for up to 180 days. We also respect Do Not Track and Global Privacy Control signals.
Hosting, recipients and transfers
STRATO GmbH, Otto-Ostrowski-Straße 7, 10249 Berlin, Germany, is the designated hosting and email provider. Authorised Klario personnel and providers necessary to operate these services may process relevant information. We do not sell contact data or send it to advertising services. This build does not intentionally route contact submissions outside the EEA. Provider contracts, subprocessors, backup arrangements and any onward transfers must be checked against the actual hosting and email configuration before public launch.
Your rights
Depending on the circumstances, you may request access, correction, erasure, restriction or portability, and object to processing based on legitimate interests. Consent can be withdrawn without affecting earlier lawful processing. We normally respond within one month; lawful extensions may apply. You may complain to a competent supervisory authority.

Other points
We do not use this website for automated decisions producing legal or similarly significant effects. Essential form protection does not use a third-party CAPTCHA. Links to the support portal and other websites only contact those services when followed. Changes to this policy will be reflected in the review date above.
